Configuring email notifications

ScoutzOS sends email notifications to keep you and your tenants informed about important events. You can customize which notifications are sent and who receives them.

Accessing notification settings

Navigate to Settings, then "Notifications." You will see separate sections for landlord/manager notifications and tenant notifications.

Landlord and manager notifications

Choose which events trigger an email to you and your team:

  • New maintenance request when a tenant submits a request
  • Payment received when rent or other payments are processed
  • Payment failed when an auto-pay charge is declined
  • Lease expiring sent at 90, 60, and 30 days before expiration
  • New tenant application when someone applies through your listing
  • Document signed when a tenant completes a signature request

Tenant notifications

Control which emails tenants receive:

  • Rent due reminder configurable for 5 days, 3 days, and 1 day before the due date
  • Payment confirmation sent after each successful payment
  • Late payment notice sent when payment is past due
  • Maintenance updates sent when request status changes
  • Lease documents sent when new documents are available for review or signature

Customizing email content

On Professional and Enterprise plans, you can customize the email templates:

  1. Go to Settings, then "Email Templates"
  2. Select the template you want to edit
  3. Modify the subject line, body text, and branding
  4. Preview the email and save your changes

Adding your logo

Upload your company logo in Settings under "Branding." This logo appears in all outgoing emails, giving tenants a professional and consistent experience.

Unsubscribe management

Tenants can manage their email preferences from their portal under "Notification Settings." Critical notifications like lease documents and payment receipts cannot be disabled.
