Switching from spreadsheets or manual tracking
If you currently manage your properties using Excel, Google Sheets, or even pen and paper, ScoutzOS makes it easy to get started.
Option 1: Upload your existing spreadsheet
If you have a spreadsheet with your property and tenant data:
- Save it as CSV (in Excel: File > Save As > CSV. In Google Sheets: File > Download > CSV)
- During ScoutzOS onboarding, select Upload CSV/Excel
- Upload your file
- ScoutzOS reads your column headers and suggests field mappings
- Match any unrecognized columns using the dropdowns
- Review and import
ScoutzOS recognizes common column names like Address, City, State, Zip, Tenant Name, Email, Phone, Rent, Lease Start, Lease End.
Option 2: Download our template
If your data is not in a spreadsheet yet, or your current spreadsheet is messy:
- During onboarding, click Download Template for each data type (properties, tenants, leases)
- Fill in the template with your data
- Upload the completed template
Option 3: Enter manually
For small portfolios (under 10 units), you can skip the import entirely and add properties and tenants manually:
- Go to Properties > Add Property
- Enter property details, then add units
- Go to Tenants > Add Tenant and link them to a unit
- Create leases under Leases > Create Lease
Tips
- You do not need every column filled in. At minimum, ScoutzOS needs an address for properties and a name for tenants. You can fill in the rest later.
- If you have lease PDFs but no spreadsheet, try the Cloud Drive Import option. ScoutzOS can extract lease terms from PDFs automatically.
