Setting up rent collection

Automated rent collection eliminates the hassle of tracking checks and manual payments. ScoutzOS makes it simple to collect rent online from every tenant.

Prerequisites

Before setting up rent collection, make sure you have:

Step 1: Open the lease

Navigate to the tenant's lease from the Properties or Tenants section. Click on the lease to view its details.

Step 2: Enable online payments

In the lease details, find the "Rent Collection" section and toggle "Online Payments" to enabled. This allows the tenant to pay through their tenant portal.

Step 3: Set payment details

Configure the following:

  • Monthly rent amount as specified in the lease
  • Due date (typically the 1st of each month)
  • Grace period in days before a late fee applies
  • Late fee amount either as a flat fee or percentage

Step 4: Enable auto-pay (optional)

Tenants can opt into auto-pay from their portal. When enabled, rent is automatically charged on the due date each month. You can recommend this to tenants but cannot force enrollment.

Step 5: Notify your tenant

ScoutzOS sends an automatic email to the tenant with instructions for accessing their portal and making their first payment. You can also send a manual reminder from the tenant's profile.

Tracking payments

View all payment activity from the Payments section in your dashboard. Filter by property, tenant, or date range. ScoutzOS automatically marks leases as current or past due based on payment status.
