Creating and managing leases

Leases connect tenants to units and define the terms of occupancy. ScoutzOS simplifies lease creation, execution, and renewal.

Creating a new lease

  • Start and end dates
  • Monthly rent amount
  • Security deposit amount
  • Late fee terms
  • Pet policy and any pet deposits
  1. Navigate to the property and unit where the tenant will live
  2. Click "Create Lease" and select the tenant (or add a new one)
  3. Fill in the lease terms:
  4. Add any custom clauses or addenda specific to your property

Using lease templates

ScoutzOS provides state-specific lease templates that comply with local landlord-tenant laws. Select your state to start with an appropriate template, then customize as needed.

Collecting signatures

Once the lease is ready, click "Send for Signature." Both you and the tenant receive the document for electronic signature. ScoutzOS tracks who has signed and sends reminders to anyone who has not.

Managing active leases

Active leases appear on the property detail page and the tenant's profile. From here you can:

  • View all lease terms and documents
  • Track rent payment status
  • Record lease violations
  • Add amendments or addenda

Lease renewals

ScoutzOS notifies you 90 days before a lease expires. You can:

  • Renew the lease with updated terms
  • Convert to month-to-month if both parties agree
  • Issue a non-renewal notice with appropriate legal notice period

Ending a lease

When a lease ends, ScoutzOS guides you through the move-out process including security deposit disposition, final inspection documentation, and forwarding address collection.
